Invoice Automation for Faster Approvals

On behalf of our clients, we process approximately 7,500 invoices month.

Invoice approvals and GL coding have traditionally required significant manual effort, which can result in a slowdown of invoice processing and payments.

By introducing advanced AI-driven invoice automation, we’ve been working to streamline approvals and processing, and are now achieving industry-leading automation results.

3 out of 4 invoices now pass through our invoice approvals and payment system without manual intervention. For you, this means:

Improved Allocation of Budget Codes

You want to know where every dollar is going.

Previously, invoices could only be allocated to pre-budgeted codes, limiting flexibility when unexpected expenses arose and making it harder to capture accurate records for future budget planning.

We’ve expanded our system to allow allocations to non-budgeted codes, improving record-keeping and enabling more accurate budgeting for your next financial period.

Smarter Controls for Larger Documents

Your email system can cause delivery issues by blocking large files in your agendas or correspondence.

Many email providers block attachments over 25MB, often resulting in strata clients not receiving important documents, especially large AGM Packs.

We’ve now added new controls within C-Hub to alert your Strata Manager when your files approach the 25MB limit, ensuring a better delivery rate and preventing missed emails.

 

What’s Next: Automated Maintenance with CXM

Imagine a calendar that allowed you to lodge all proactive maintenance a year in advance.

Now imagine that the calendar also issues work orders or quote requests on those scheduled dates.

Our upcoming redesign of Civium Experience Manager (known as CXM) is the first step toward a fully automated maintenance scheduling process.

The new system will allow proactive scheduling of maintenance, where work orders are automatically triggered, quotes can be requested early, and invoices will flow seamlessly through the system.

Committee voting will also be automated, with customisable rules for each committee, reducing human error and speeding up decisions.

The benefit for you is clear: less email back-and-forth, faster execution of agreed works, and improved transparency for all.
