C-Hub Feature Focus: Committee Discussions

Maintaining visibility can be difficult when information is spread across multiple channels. We developed a dedicated space within C-Hub to bring conversations, documents and decision making together in one secure location.

The Challenge

Communication within committees often takes place across multiple channels, including email, WhatsApp, Messenger and more.

While these tools may be convenient, important information can quickly become fragmented and difficult to locate, especially when committee members change. Decisions often become hidden in long email threads that span multiple topics, making them difficult to find and verify.

Additionally, new committee members may have limited visibility of past conversations, making it harder to understand the history behind projects, decisions and priorities.

The Solution

The Committee Discussions feature within C-Hub provides a central hub for committee members to communicate about building matters, projects and ongoing initiatives. All discussions and decisions are stored in one place, creating a searchable history that can be referenced at any time and notifying members whenever new activity occurs.

Committee members can attach documents such as quotes, scopes of work and supporting information directly to discussion threads, ensuring everything related to a topic remains together. They can also capture and formally record decisions through structured poll voting, supported by tailored voting requirements, automated notifications and a complete audit trail in one secure location.

Strata Managers can also view these discussions and contribute where appropriate, offering guidance on legislation, processes or project considerations. They can also create action items to give committees greater visibility over next steps and outstanding tasks.

The Benefit

Having an ongoing record of discussions, decisions and supporting documents provides significant long-term value for our committees. Whether a project is revisited months or years later, committees can quickly understand previous considerations, review historic documentation and continue discussions with confidence.

Coupled with our new poll voting functionality, committees can also clearly see how decisions were reached, who participated in the vote, and the final outcome, creating greater transparency, accountability and governance.
